Role Overview

This is a delivery and resourcing role sitting at the centre of how work moves across our global studio. You'll keep visibility on every active project, make sure workload is balanced fairly across the global team, and be the person people can rely on to chase, track, and land the details, without anything slipping through the cracks. You'll report to our Delivery Lead, who sets day-to-day direction. This role executes against that direction from day one, and grows into making more resourcing and delivery calls independently as trust builds.

About N4 Studio

N4 is Webflow's number one global agency partner. We build and run websites for a living, from full start-to-finish builds through to N4+ (our ongoing managed retainer model) for a client list that's mostly large US corporates, alongside AU/NZ and UK accounts.

We're a team of circa 70, spread across New Zealand, Australia, the UK, Serbia, Brazil, Canada and the US. We're global by default, and we move fast because of it, not despite it. We're looking for the right people to come with us on our growth journey.

What you will own

Resourcing & capacity planning

  • Keep our project management tool (Productive) up to date: every task correctly estimated, following up with the team when it isn't
  • Take in tasks from our CS/PM team and decide who they go to, balancing workload across our global studio
  • Make sure nobody's overloaded or under-resourced and everything is staged correctly in Productive

Delivery tracking & communication

  • Send out and chase team members directly for delivery updates, this is a big part of the role, and needs someone comfortable following up repeatedly without losing track of where things should be sitting
  • Maintain accurate, real-time visibility of what's in progress, what's pending, and what's at risk across the whole studio
  • Communicate clearly and reliably with the team, taking direction well from the Delivery Lead and keeping her informed on delivery status

Tooling & process ownership

  • Own Productive hygiene as the source of truth for our delivery pipeline
  • Spot process improvements over time, better ways to track, stage, and reconcile workload across a growing global team and liaise with the Delivery lead for implementation

Escalation handling

  • Flag capacity issues and delivery risk early, so the team can respond before it becomes a bigger problem
  • Support the wider account team with clear, accurate status reporting when needed

As you grow in the role, you'll take on:

  • Webflow content loading: hands-on work updating and populating content within Webflow sites as projects move through delivery, giving you direct exposure to the platform behind everything we build
  • Occasional QA/testing: stepping in to test and review work before it goes live
  • Understanding which type of design/development work suits which team member, well enough to start making placement calls yourself
  • Setting up resourcing forecasts in Productive, so we know when we need to hire ahead of time

Who we are looking for

Must haves

  • Strong project management tooling acumen, direct experience with Productive is a big plus, but comfort picking up any PM tool quickly matters more
  • Excellent written and verbal English - strong ability to communicate clearly and reliably within a cross-functional team
  • Experience working in a fast-paced, high-volume environment; e.g. agency, tech/SaaS, BPO
  • Detail-oriented and organised by nature, used to the rhythm of coordination work: chasing, tracking, staging, reconciling
  • Comfortable working in spreadsheets/trackers for resourcing and reporting
  • Experience using AI tools to support your workflow; whether that's smarter status reporting, faster synthesis of team updates, or more efficient tracking, and staying current as the toolset evolves
  • Genuinely comfortable with varied time zone and flexible/shift-based working

Nice-to-haves / will grow into

  • Experience with resourcing forecasting or capacity planning
  • Exposure to QA testing processes and/or content operations
  • An understanding of web design and development workflows
